User Guide
Getting Started
Welcome to the MWFA Masters fixtures app! This app connects directly with official league spreadsheets to provide up-to-date fixture information, optimized for your phone.
- Select the current season from the Select Season dropdown.
- Optional: Power users can tap the blue Pencil icon to manually type a specific spreadsheet tab name to load.
- Select your team from the dropdown and tap Show Fixtures.
- Once loaded, the selection panel collapses into a compact summary bar (for example, Draw-Summer 2026 • INTR). Tap Edit at any time to switch teams or seasons.
- Your selections are saved on your device so your team's fixtures load automatically the next time you open the app.
Reading Fixture Cards
Each match card gives you everything you need for Sunday kick-off at a glance:
- Timeline & Status Badges: To keep your screen uncluttered, the app displays at most 1 recent completed match (marked with the grey Past badge and dimmed styling), followed by any match currently underway (pulsing orange Now badge), your upcoming match (marked with the green Next badge), and subsequent future matches. Scheduled BYE rounds are also clearly marked.
- Strip Colour Circles (Kit-Clash Check): Your team's circular badge on the left and the mini coloured circle next to the opponent's name display each team's official shirt colours from the MWFA directory so you can spot a kit clash immediately before match day.
- Ground Maps & Field Notes: Tap Map under the playing field name to open Google Maps directions directly to that ground. Important notes from the draw sheet (such as (portable goals) or (nets may be needed for goals)) are shown right above the Map link.
Match Hub, Availability Polls & Match Results
The app includes an integrated, zero-backend Match Hub for every fixture, combining live Sunday coordination, player attendance voting, match result recording, and season statistics without relying on external survey tools or nested chat messages.
- Match Card Poll Pills: Fixture cards display an interactive status pill in the top header row:
🗳️ VOTE: You have not voted yet for this game.VOTED 👍: You are attending (YES).VOTED 👎: You cannot attend (NO).VOTED 🤔: You voted the optional 3rd choice (e.g. Don't know yet).FINISHED: The match has finished or voting has closed. When match results recording is enabled, verified squad members see a coloured score pill instead (green for WinW 3 - 1, grey for DrawD 2 - 2, muted red for LossL 1 - 2).
- Unlocking Your Team Match Hub: When viewing your team's match hub for the first time, you will be prompted for your team's 4-digit Team Poll Access Code. This code is distributed once per season by your team manager. Once entered, the poll remains unlocked on your device across visits.
- Player Identity & 4-Digit Player PIN:
- Enter your Australian mobile number and your name.
- Choose a personal 4-digit Player PIN. Your PIN is cryptographically salted and hashed directly on your device using SHA-256 before being stored in Cloud Firestore. No plaintext PIN is ever stored or transmitted.
- Once registered, your voter profile is remembered on your device. When accessing the app from another phone, tablet, or laptop, simply enter your mobile number and your 4-digit PIN to immediately verify your profile.
- WhatsApp-Style Live Voting: Tap your vote choice (YES, NO, or Don't know yet). Your choice is saved instantly in real-time. Tapping your selected option again removes your vote, and tapping another option switches your vote seamlessly.
- Live Squad Roster (
View votes): Tap View votes below the voting options to open the dedicated live squad roster. Confirmed players are organized under YES, NO, and MAYBE categories in real-time, showing each player's name, vote timestamp, and a highlighted You badge next to your own vote. You can also tap Copy Results at the top to copy a clean text roster to your clipboard. - Share Poll: Tap Share Poll to generate a clean, compact 4-line match summary containing match date, kick-off time, opponent, venue, optional Team PIN, and a short one-tap voting link (e.g.
/p/YYMMDD-HOME-AWAY?k=PIN) ready to share directly with your squad via WhatsApp, Messages, or clipboard. - Past Matches & Collapsible Squad Availability: When a match concludes (marked with the
FINISHEDbadge or result pill), active attendance voting is hidden. The screen directly displays the Squad Availability card in a compact, collapsed summary bar (showing total responders, e.g. 14 players responded (11 YES • 3 NO)). Tap Expand to reveal the full attendee list with dimmed styling, complete with a Copy Results button on the top left and a Close button on the top right. - Match Results Recording & Season Records:
When enabled for your team, verified managers can record and update final scores directly on completed matches:
- Recording Scores: Tap Enter Score (or tap an existing score pill) in the Match Hub header to open the Match Details dialog. Scores are entered cleanly using enlarged direct numeric inputs that automatically select the existing number on tap for instant keypad overwrite, accommodating double digits (e.g.
10or11) without clipping. - Season Results Summary: Squad players and managers can tap Season Results ❯ at the bottom of the match card to open the team's season record. The summary bar tracks performance across 7 columns: Played (P), Won (W), Drawn (D), Lost (L), Goals For (GF), Goals Against (GA), and Goal Difference (GD). Since Masters is a non-competitive social league, competition points are not used.
- Tapable Stats Breakdown: Tap the 7-column stats summary bar at any time to expand an in-place breakdown card revealing full metric descriptions (
Matches Played,Matches Won,Goals Scored,Goals Conceded,Goal Difference) with right-aligned tabular numbers. Tap the bar again or click Close to collapse it. - Consolidated Match Results Card: Past fixtures are presented in reverse chronological order on a single card using 4-letter team acronyms (for example,
18 Oct [W] INTR 0 - 0 CITY) for clean mobile alignment, accompanied by compact dates and colour-coded result badges (W,D,L). Tapping any match row opens the full Match Details sheet. - Team Privacy Gate: Match scores and season results are private to squad members: non-members only see a neutral finished badge until they unlock the team with the access code.
- Player(s) of the Match (3-2-1 / Best & Fairest Voting):
On completed matches, squad members can vote for the top performers of that game:
- Tap Vote on the Player(s) of the Match card to expand the voting form.
- Rank your top three performers: 1st Place (3 pts), 2nd Place (2 pts), and 3rd Place (1 pt).
- Candidate dropdowns are automatically populated with players who voted YES for the fixture, plus an Other / Enter name... write-in option for players who played as fill-ins or substitutes.
- Tap Submit Votes to record your picks. The card switches to a confirmed summary showing your awarded points alongside an Edit button allowing you to revise your votes if needed.
- 🏆 Season Players Leaderboard: Points from all completed matches of the season are automatically compiled into a live leaderboard. Tied scores are sorted first by total 1st-place nominations, then alphabetically. The card is collapsible with an Expand / Close button on the top right (matching the Squad Availability card). The leaderboard is visible immediately to Team Managers (with a
Manager Onlybadge) and becomes visible to all squad players (with aTeam Leaderboardbadge) when enabled by the manager. - Team Manager Administration: Team managers and assistant managers can customize poll questions, set closing deadlines, moderate votes, share past match voting links, and reset player PINs as explained in Chapter 4 below.
Team Manager Administration (Poll Settings & PIN Reset)
Team Managers and Assistant Managers have access to integrated squad management and poll administration tools built directly into the app:
- Automatic Manager Recognition: When entering your mobile number in the voter profile, the app checks the official MWFA directory. If your number matches a listed Manager or Assistant Manager, a blue-accented Poll Options panel appears at the bottom of the poll screen.
- Two-Factor Manager Authentication (Directory Mobile + 6-Digit PIN):
- Tap Team Manager Login on the access gate (or Edit on the Poll Options bar).
- Enter your 10-digit Australian Mobile Number and your team's 6-digit Manager PIN.
- Directory Verification: The app verifies that your mobile number matches an official Manager or Assistant Manager listed in the MWFA directory for your team (or an authorized League Coordinator). Unauthorized numbers are rejected even if the PIN is known.
- Simultaneous Multi-Team Management: Managers and coordinators who oversee multiple teams can log in to each team without conflict. Each verified team session remains unlocked on that device for 6 months.
- Customizing Poll Option Wording: Managers can customize the labels for attendance choices (for example, setting YES to , I'll play and NO to , can't make it). Changes apply immediately to the current poll and all future matches.
- Enabling or Disabling the 3rd Option: Check or uncheck Enable 3rd Option to decide whether players can vote an uncertain/maybe choice (such as Don't know yet). When disabled, only YES and NO options are shown.
- Automated Closing Deadlines: Choose when voting automatically closes from the Poll Closes dropdown:
At Match Kick-off (0h)3 hours before Kick-off6 hours before Kick-off12 hours before Kick-off24 hours before Kick-off48 hours before Kick-off
CLOSEDpill, the voting form locks with a reminder that voting has closed, and the final headcount freezes for match-day team sheets. - Team Access Code & Length: View and update your team's Poll Access PIN and toggle between 4-digit and 6-digit code lengths.
- Player PIN Administration (Resetting Forgotten PINs):
If a teammate forgets their personal 4-digit Player PIN and cannot vote from a new device:
- In the Manager Poll Options panel, scroll to Player PIN Administration.
- Enter the player's mobile number in the Player Mobile to Reset field.
- Tap Reset Player PIN.
- Moderating Squad Votes (Removing Invalid or Duplicate Entries):
Team managers can review and moderate the live attendee roster to ensure headcounts are 100% accurate:
- Tap View votes on any match to open the live squad roster.
- When authenticated in Manager Mode, each player entry displays their registered mobile number alongside an inline red Remove button.
- Tap Remove next to any player who voted by mistake, registered duplicate entries, or tested the form.
- Requesting your Manager PIN (Self-Service Onboarding):
If you are newly appointed or have misplaced your 6-digit Manager PIN:
- Under the Manager PIN prompt (or on the Team Poll Access Gate), tap Need your Manager PIN?.
- The app opens an official request card displaying your team and listed directory contacts.
- Tap Request PIN via Email to open your device email client with a pre-formatted message addressed to league coordinators (
mwfa_masters@outlook.comandmsheppard12@gmail.com), pre-filling your name, mobile, and team.
- Publishing the Season Players Leaderboard: In Poll Options, check Publish POTM Leaderboard to Team and tap Save Options to make the 3-2-1 leaderboard visible to all squad players on past match poll pages. When unchecked, the leaderboard remains visible strictly to verified managers (marked
Manager Only). - Enabling Match Results Recording: In the Manager Poll Options panel, check Enable Match Results Recording and tap Save Options. This activates score pills on fixture cards, allows managers to enter scores on completed matches, and unlocks the Season Results ❯ button for squad players. All historical matches from the official competition draw are automatically populated in the Season Results view, allowing managers to record past scores even if no squad availability poll was created for earlier rounds.
- Sharing Past Match Voting Links: In the Manager Poll Options panel, select any completed match of the season from the Share Past Match Voting Link dropdown. Tap Share to WhatsApp or Copy Link to send teammates a direct link to cast their 3-2-1 votes even after newer matches have appeared on the home fixtures screen.
- Master Admin Portal: League coordinators and master administrators access the dedicated Master Admin Portal (
admin.html) via the App Diagnostics gateway. Master Admin is hardened with two-phase security (Google Sign-In authentication followed by 6-digit Master PIN step-up verification). The portal features three dedicated workspaces using a top segmented switcher:- Teams (⚽ Teams): Inspect live credentials across all 32 teams, share credentials directly with managers via WhatsApp, SMS, or phone, update or randomize team and manager PINs, reset overrides to standard defaults, and configure operational feature modules for each team (Player Availability Polls, Player of the Match, and Match Results Recording). These three modules operate independently: teams can record scores or vote for Player of the Match even if availability polls are disabled.
- Config (⚙️ Config): Manage active and historical competition seasons and draw sheet tab mappings, inspect the pitch directory with verified street addresses and Google Maps directions, and configure system global parameters (match duration hours, date display format, and manager PIN request email routing).
- Admins (👑 Admins): Review authorized coordinator Google accounts, grant access to new coordinators, revoke permissions, and rotate the 6-digit Master PIN.
- Seasonal Team Poll PIN Expiration & Renewal:
MWFA Masters operates on 6-month seasonal schedules. When your team's Poll Access PIN expires at the end of a season:
- Manager Prompt: Verified managers opening the app see a prominent Season Renewal Required alert banner showing the expired date and upcoming anchor date.
- Option A (Keep Current PIN): Tap Extend Current PIN to advance the expiration date by 6 calendar months. Existing squad players retain unlocked access and can immediately continue voting without entering a new code.
- Option B (Set New Season PIN): Tap Enter New PIN to set a new 4-digit or 6-digit code and advance the season by 6 calendar months. Cached access on player devices is invalidated, returning players to the access gate to input the new season code.
- Anchored Season Dates: The new expiration date is calculated strictly as
pin_expires + 6 months, preserving the competition schedule regardless of when renewal is submitted.
Manager Contacts
Need to organize a last-minute change or confirm kit colours? You can view the Manager and Assistant Manager contact details and shirt colours for any team:
- Your Team: Tap your team's circular coloured logo on the left side of any fixture card.
- The Opponent: Tap the opponent's name (underlined in blue).
A popup will appear showing the team's strip colour and a contact card for each listed manager, complete with one-tap buttons for Call, SMS, WhatsApp (with a pre-filled match greeting), and Copy.
Check Ground Status (Wet Weather)
If you suspect your game might be affected by rain, you can check the official ground status directly from the Northern Beaches Council:
- Tap the name of your playing field (e.g., Boondah Rd 2 info_outline) to open the Council's live wet weather status page, pre-filtered for your specific ground.
- Note: Tapping an artificial synthetic pitch (such as Cammeray or Lionel Watts 3 & 4) displays "Synthetic pitch always open in wet weather" along with any field notes from the draw sheet.
